Deleting your account or your data
You can ask for your account, or particular records inside it, to be deleted. Nothing is deleted by asking: you confirm the request with a code, and you can call it back right up to the moment it is carried out.
Asking from inside the app
Section titled “Asking from inside the app”- Where
- Account & data deletion
- Plan
- All plans
Open to every signed-in user, on every plan, with no permission needed. The screen is also the second button on your own Account page, under Danger zone — Request account or data deletion.
How to make the request
Section titled “How to make the request”- Go to Account & data deletion in the menu — it sits near Support and Legal & compliance at the bottom.
- Read the three panels at the top of the screen: What deletion actually removes, What is kept, and why, and How long it takes. They are deliberately above the button.
- Click Request deletion.
- Under What would you like us to do? pick one of the four options — see the four kinds of request below.
- If you picked Delete specific data only, fill in Which data should we remove? — this one is required. Be specific: which records, which customers, which date range.
- Add a Phone number if you like. It is optional, but “it speeds up verification.”
- If you picked Delete my entire account, type your workspace name into Type the workspace name to confirm. It must match exactly.
- Tick the acknowledgement: “I understand this is permanent and cannot be undone…” The Submit request button stays dead until you do.
- Click Submit request.
How to confirm it
Section titled “How to confirm it”Submitting files the request but puts it in front of nobody. The Confirm your request box opens straight away:
- Check the email on your account for a 6-digit code.
- Type it into Verification code.
- Click Confirm request.
If the code has gone astray, click Send a new code. The old one stops working.
Asking without signing in
Section titled “Asking without signing in”If you cannot get into the app — you have left the business, or you never had a login — use the public form at salesprint.org/account-deletion. It works the same way:
- Choose what you want done.
- Fill in your Full name, Business name and Account email — the address you sign in with.
- For a whole-account request, type the business name again under Type your business name to confirm.
- Tick the acknowledgement and click Submit request.
- Enter the 6-digit code emailed to you and click Confirm request.
- Keep the Request number you are shown. You need it if you write to us.
You can also simply write to [email protected] from the address on the account.
How to cancel
Section titled “How to cancel”- Go to Account & data deletion.
- The live request is shown at the top of the screen instead of the form.
- Click Keep my account.
- Confirm.
You may do this at any point before the deletion is carried out — including while it says Scheduled. The confirmation toast reads “Request cancelled — your account stays.”
The four kinds of request
Section titled “The four kinds of request”| Option | What it means |
|---|---|
| Delete my entire account | Close the business account and remove all personal data we are not legally required to keep. |
| Delete specific data only | Remove particular records — a customer profile, marketing contacts, uploaded files. |
| Remove my staff record | Remove your own user account and staff record from this workspace. Available to everyone. |
| Export my data, then delete | Get a copy of your records first, then delete. Recommended if you are leaving. |
Who may pick what. Anyone can ask for their own staff record to be removed — that one is never gated. The other three ask for the workspace’s data, so they need the data-privacy permission (Administration → Data Privacy → Create in the role editor). Without it the three options are visible but dimmed, with the hint “Needs the data-privacy permission. Ask an owner or administrator.”
Seeing other people’s requests in the workspace needs Administration → Data Privacy. Without it the list is headed Your requests and shows only your own.
What happens after you confirm
Section titled “What happens after you confirm”Confirming hands the request to SaleSprint’s privacy desk and starts two clocks.
- A seven-day cooling-off window. The screen shows it as Nothing erased before, with the date. Nothing is erased inside it, whatever else the request says — that window is the point of being able to change your mind.
- A thirty-day commitment. The screen shows it as To be completed by. “Verified requests are completed within 30 days, and you get written confirmation of what was removed.”
Along the way the desk may ask you to confirm the scope, and will offer you an export first if you want one. You are emailed at each step — when the code goes out, when the request is received, when it is scheduled, and when it is completed, declined or cancelled — and the emails link straight back to the request.
The Progress list on the request records every one of those steps with its date.
What the statuses mean
Section titled “What the statuses mean”| Status | Meaning |
|---|---|
| Awaiting confirmation | the emailed code has not been entered — nothing has reached us |
| Submitted | confirmed, and with the privacy desk |
| In review | someone is working on it |
| On hold | paused, usually pending something from you |
| Scheduled | approved, with a date — you can still cancel |
| Completed | carried out, with the written summary below it |
| Declined | refused, with the reason under Why it was declined |
| Cancelled | called back by you, or by us at your request |
| Expired | never confirmed within seven days |
Once it is Completed the request keeps two summaries on screen: What was removed and What had to be kept. That is your written record, and it is not erased along with the data.
A request can be Declined — for example an employee asking for their employer’s business records, an identity we cannot verify, or an open legal matter. A reason is always given.
What deletion removes
Section titled “What deletion removes”- Your login, password and session tokens
- Staff user accounts, roles and permission assignments
- Customer and supplier contact details (names, phone numbers, emails, addresses)
- Product catalogue, images and other uploaded media
- Saved device preferences, receipt layouts and branding
- Notification history and message templates
- Loyalty member profiles and their contact details
- Support correspondence tied to the account, once any open matter is closed
What is kept, and why
Section titled “What is kept, and why”Some records cannot be erased on request. These are the only ones, and this is the reason for each.
| Kept | Why | How long |
|---|---|---|
| Posted accounting entries and tax records | Ghana Revenue Authority and equivalent tax law require retention of books of account, typically for six years. These are your statutory records, not marketing data. | Statutory period, then deleted |
| Invoices and receipts SaleSprint issued you | SaleSprint’s own accounting and tax obligations as a supplier. | Statutory period, then deleted |
| Anonymised, aggregated usage statistics | Counts and totals with no identifying information. They cannot be traced back to you or your business. | Indefinitely, in anonymised form |
| Security and audit logs | Fraud investigation and abuse prevention. Automatically pruned on a rolling schedule. | Rolling retention window, then permanently dropped |
| Backups containing deleted data | Backups are immutable snapshots; they expire on their own cycle rather than being edited. | Up to 90 days after deletion |
What happens to your team
Section titled “What happens to your team”A whole-account deletion removes the staff user accounts, roles and permission assignments along with everything else — so nobody on your team can sign in afterwards. Tell them before you ask, not after.
Remove my staff record is the narrow version: it takes out your own user account and staff record and leaves the workspace standing for everyone else. If you are the only owner, hand ownership over first — see managing people.
