Patient records are not specially protected
Access is controlled only by the ordinary permissions. Anyone you grant the
Patients permission sees every patient’s allergies, chronic conditions and
next of kin, across your whole business .
There is no per-practitioner scoping, no consent record, no break-glass, and
no log of who viewed a record . If you are subject to health-data rules,
check that this meets them before you put real patients in.
A patient has no name
The patient record has no name field at all — the list shows date of birth,
sex and blood group, and an unnamed row reads simply “Patient”.
Worse, when you pick a patient on an encounter, the dropdown lists raw
internal identifiers instead of names. Choosing the right person from it is
not realistically possible.
The workaround is to link every patient to a
customer record , which does hold a name — but the
encounter picker still will not show it.
Go to Verticals → Clinic & Health → Patients and add the patient, linking
them to a Customer .
Go to Encounters and click New record . Pick the patient and the
practitioner, and set the type — Consultation, Procedure, Follow-up or
Emergency.
Save, then re-open it. Services can only be added after the first save.
Add each service with its Fee .
Use Settle on the row menu.
Go to Sales, find the draft, and post it to take the money. See
What “Settle” does .
The consultation sale is anonymous
Even when the patient is linked to a customer, the sale Settle creates has no
customer on it . It posts as a walk-in, so it will not appear on that person’s
statement or account.
Vet encounters and boarding stays behave the same way. Only eyewear orders
carry the customer through.
The Total box is not what gets billed
On a clinic encounter, Total is a number you type that is read by nothing.
The bill is built from the services you added. The two can disagree with no
warning.
On a vet encounter it is the other way round: there is no services list at
all, and the typed Total is exactly what gets billed as one line. If it is
blank, nothing is billed and the encounter is still marked Billed.
Lab orders run Ordered → Collected → In progress → Resulted → Verified →
Released, in any order you like — nothing is enforced.
Human-health lab orders take structured Results (value, unit, reference
range, and an Abnormal flag). Vet lab orders take one free-text summary.
A lab order has no price and cannot be settled
There is no Settle on a lab order, and the Price on your lab-test list is
read by nothing. Nothing charges for a test, ever.
Add the test fee as a service on the encounter , or ring it up separately.
Results can be added and deleted but never edited , and an Abnormal result
raises a red badge and nothing else — no alert, no escalation, and nobody is
notified when a result is released.
No scheduling exists for a clinic or a vet
Neither menu has a booking screen. There is a working Appointments screen,
but it belongs to the Salon pack and does not appear in the Clinic or Veterinary
menus — you would have to enable Salon & Spa as a second industry to reach it,
which spends another of your plan’s industry slots.
The Appointment box on an encounter form expects an internal identifier and
has no picker — leave it blank.
You get a list of encounters after the fact . Keep your diary elsewhere.
Go to Verticals → Veterinary → Boarding Stays and click New record .
Pick the Animal , type the Kennel , set the Daily rate and the
Check-in and Expected check-out dates.
When the animal goes home, edit the stay and fill in “Actual check-out”
first.
Then use Settle .
Settling without an actual check-out date bills one night
The charge is worked out from Check-in to Actual check-out . Settle does
not fill that date in for you — so pressing Settle on a two-week stay
without it bills a single night , silently, with a success message.
Always set Actual check-out before settling. The expected date is never used for
pricing.
Nothing tracks kennel occupancy. The kennel is free text with no list behind
it and no clash check — two animals can be booked into “Kennel 3” for the same
night.
The journey is: capture the Prescription , pick a lens from the Lens
Catalogue , raise an Eyewear Order , and add a Lab Job to it to track the
lab.
Three things are not what they appear
The lens catalogue is not stock. A lens entry is not linked to a catalogue
product, has no stock, and its Base Price is read by nothing. The order is
billed at the Total you type.
The frame never leaves stock. An eyewear order records a real frame product,
but dispensing the glasses does not remove it from inventory. Adjust stock by
hand — see Adjustments .
A lab job sends nothing. The Lab Vendor box expects an internal
identifier and has no supplier picker. Nothing is transmitted, no order is
raised, and it never becomes a bill to pay. It is a private note.
Prescriptions are never validated
Nothing checks the numbers, the axis range, or the dates — an expiry before the
issue date is accepted, and an expired prescription can be used to order
glasses with no warning.
Export produces no file on any of these eleven screens.
Only the first 200 records load , including in every picker.
Company and Location lock after saving , while still appearing editable.
