The shortage reports
Section titled “The shortage reports”How to find what you need to reorder
Section titled “How to find what you need to reorder”- Go to Reports → Inventory & Stock Reports → Stock Reorder.
- Pick a Location if you only want one branch.
- Click Run report.
- Read the Suggested qty column and the Urgency badge — critical means you are already at or below zero, high means you are more than three-quarters of the way down from your reorder point.
Out of Stock is the exception: it needs no setup, because the threshold is simply zero.
Preferred supplier on the Low Stock and Reorder reports is not a preference — it is simply the first supplier ever linked to that product. There is no way to mark a supplier as preferred.
Negative stock
Section titled “Negative stock”Days negative is approximate and often wrong. It is measured from the last recorded sale, not from when the stock actually went negative — and when there is no sale on record at all it shows 0 days, even for a long-standing problem caused by a bad adjustment.
Read the column as “there is a problem here”, not as a duration.
Stock by Location
Section titled “Stock by Location”This is the one report that lists everything, configured or not.
Valuation
Section titled “Valuation”How to value your stock
Section titled “How to value your stock”- Go to Reports → Inventory & Stock Reports → Stock Valuation.
- Set the As of date, and a Location or Category if you want to narrow it.
- Click Run report.
- Read Cost value for what the stock cost you and Sale value for what it would fetch.
The Costing basis tile confirms what you are looking at: a weighted average of the purchase batches the remaining stock came from. Not last cost, and not the standard cost on the product.
Valuation by ABC deliberately leaves out any product that has not been given an ABC class, so its total is normally lower than the plain Stock Valuation total. The page says so in a tile. That is expected, not a fault.
Stock Ageing
Section titled “Stock Ageing”Even if it were filled in, its money columns would value ninety-day-old stock at today’s cost, so the total would still not agree with Stock Valuation.
Movements, adjustments, transfers and counts
Section titled “Movements, adjustments, transfers and counts”Stock Movement lists ledger entries newest first. The Balance column is that item’s balance at the moment of the movement across your whole business — it is not a running total of the rows you are looking at, so with a filter applied it will jump around.
Stock Adjustment shows the value of each adjustment as a positive number whether stock went up or down, while the quantity beside it is signed. A day of +100 and −100 shows a net quantity of zero next to a large positive value. Do not read the value total as a net write-off.
Stock Transfer filtered to a location returns transfers out of and into that location, so expect more rows than you asked for.
Stock Count Variance compares the count against the system figure captured when the count sheet was created, not today’s. A variance of zero does not prove your stock is right today.
Traps that apply across the group
Section titled “Traps that apply across the group”Services can appear as stock. Only Out of Stock excludes items that are not inventory-tracked. On the others, a service or non-tracked item that has picked up a stock record will be listed and valued.
Kits are counted twice. Nothing here understands kits, so a kit and its components are separate rows. If both carry stock, the same goods are counted and valued in both.
A missing cost silently becomes zero. Where a product has no cost recorded, the value columns show 0.00 — indistinguishable from stock that genuinely cost nothing.
Category is ignored on four of them. Stock Adjustment, Stock Transfer, Stock Count Variance and Stock by Location have no category filter, because their data does not support one. They correctly do not offer the box.
Two columns show raw database words. The Type and Status columns on the
adjustment and transfer reports are untranslated, so you will see things like
in_transit rather than In transit, in both English and French.
