A supplier is a contact with the supplier box ticked — the same record type as a customer, so someone you both buy from and sell to is a single contact, not two.

  1. Go to Organization → Suppliers.
  2. Click New.
  3. Fill in the name, and whatever contact details you have — email, phone, contact person, address.
  4. Add their Tax ID if you need it on paperwork.
  5. Set a Default currency if they invoice you in something other than your own. Leave blank to use yours.
  6. In the supplier section, set:
    • Payment terms days — how long you have to pay
    • Credit limit
    • Default lead time days
  7. Save.

Suppliers work offline. One added without a connection syncs later.

How to record what a supplier charges for a product

Section titled “How to record what a supplier charges for a product”

On the supplier’s page, open the Products tab. This is their approved list — which items you buy from them, and on what terms.

  1. Click to add a product.
  2. Enter the product, and the minimum and maximum reorder quantities.
  3. Save.

Where the approved list does work: reordering reads it to pick a supplier and to round order quantities, and the product picker on purchase documents can be limited to a supplier’s approved products, showing their SKU and agreed cost.

Unlike several similar-looking screens, this one is real and fills itself in.

  1. Go to the supplier scorecards screen.
  2. Check the period. It opens on last month, and that is deliberate — leave it alone.
  3. Read the ranking.

Each supplier is scored on:

Measure Meaning
On-time delivery Share of deliveries arriving on time
Average lead time Days from order to delivery
Quality Share not sent back
Price variance How far the price charged drifted from the price ordered
Fill rate Share of what you ordered that actually arrived
Composite score The above combined, graded A (90+), B (75+), C (60+) or D

There is no recalculate button. If a supplier looks wrong, wait for the nightly run.

You can also type a scorecard in by hand from the supplier’s Scorecards tab — but a hand-entered figure for a period the nightly run also covers will be overwritten.

The scorecard screen needs a connection and shows an error rather than old figures when offline.

Paying happens in Financials, not here. The handover is the goods receipt: posting one raises a draft bill dated from the supplier’s payment terms.
