Selling at the till

This is the screen you will spend most of your day on. It handles the ordinary case — customer, items, payment, receipt — and a few less ordinary ones through the same controls.

Sale Transactions → Add Instant Sale
Plan

Sales → Sale

Pick a location. The till will not open until one is chosen in the top bar, and you cannot sell from a warehouse — only from a shop. See Accounts, companies and locations.

Open your shift, if your shop requires one. Depending on the Shift → Require an open shift setting, selling may be blocked entirely, blocked only for cash, or not required at all. If you pick a cash tender with no shift open, the screen prompts you.

If your shop uses shifts, a strip sits above the till.

  1. Click Open shift on the strip — or on the lock card if selling is blocked.
  2. Count your cash and type it into Opening float.
  3. If asked, name the till in Register name — for example Counter 2.
  4. Add Notes if you need to, and click Open shift.

The strip now shows Shift open and your Expected cash, which updates as you sell.

  1. Click the ⋮ button on the shift strip and choose Close shift.
  2. The dialog lists your Opening float, Cash sales, Cash refunds, Pay-ins and Pay-outs, then Expected cash.
  3. Count the drawer and type the figure into Counted cash.
  4. Declare what you took on each other payment method.
  5. If there is a difference, explain it in Reason for the difference.
  6. Click Close shift. Your Z report is shown.

The same ⋮ menu holds Suspend shift (break), X report, No sale (open drawer), Pay in, Pay out and Drop to safe.

  1. Go to Sale Transactions → Add Instant Sale.
  2. Add the items. Search in Search products, tap a product tile, or scan the barcode. A scan works wherever you are on the screen — you do not have to click into a box first.
  3. Set the quantity with the − and + buttons, or type over the number.
  4. To take a line off, click the bin icon at the end of the row.
  5. Choose the Customer if there is one. Otherwise leave it as Walk-in and, if you like, type their name in the walk-in name box.
  6. Take payment under Payments: choose a Method and type the Amount.
  7. Click Complete.

The screen clears itself ready for the next customer. It does not navigate away.

  1. Click the + button next to the Customer box.
  2. In Add customer, type the Customer name — the only required field — plus Phone and Email if you have them.
  3. Click Save.

The new customer is attached to the sale straight away.

The coupon box is not on the main till screen.

  1. Click the More options button — the slider icon at the end of the header row.
  2. Under Promo & rewards, type the code into Coupon code.
  3. Press Enter or click Apply.
  4. You will see either Coupon applied − 12.00 in green, or the reason it was refused.
  5. Click Done.

To take it off again, the button becomes Remove.

How Where
Type-ahead search Every layout
Product tiles with pictures Simple and Kiosk layouts
Barcode scan — camera, or a plug-in scanner Every layout
Gift registry The registry button, using the customer’s share link

A scan is matched first on barcode, then on exact item code, then on a unique name match. If nothing matches you get a “not found” message and nothing is added.

Some items ask you something before they go in the basket:

  • Age-restricted items show a confirmation you must accept. This is your attestation that you checked — the system does not know the customer’s date of birth and cannot check for you.
  • Items with variants open a picker. Cancel it and nothing is added.
  • Items with several prices — packs, or price breaks — open a price picker.
  • Batch or serial-tracked items ask which one, after the line is added. You can set this later with the Select variant / batch / serial link on the line. Choosing a serial fixes the quantity at one.

Quantity is always editable. Unit price is only editable on the Classic layout — on every other layout the price is shown but read-only, which surprises people who move between layouts.

Tax is never editable. It is worked out from your tax setup and cannot be typed over. If the item or the customer is tax-exempt, the line is simply not taxed.

There are no per-line notes.

Two different things share the word “discount”.

Automatic discounts and coupons are worked out by the server, not by the till. You type a coupon code and the screen tells you whether it was accepted and why not if it was refused. Lines carry a badge showing whether a discount came from a rule (Auto) or a coupon.

Discounts you type yourself are the per-line discount field, and on some layouts a single discount applied across the whole basket. This field only appears if your plan includes inline discounts and the Pos → Allow Inline Discount setting is on — otherwise it is either locked with an upgrade prompt or not there at all.

A customer is optional for an ordinary cash sale. You must name one for a credit sale, a layaway, or a pickup-later sale.

The + beside the customer box adds a new one on the spot — a name is all that is required — and attaches them to the sale.

If the customer is marked tax-exempt on their record, the whole sale becomes tax-free and a badge says so.

Once a customer is attached, a loyalty badge appears showing what this sale will earn, their current balance and their tier.

Add as many payment rows as you need; they can be different methods. If the customer hands over more cash than the total, the screen shows the change due.

  • Gift cards and vouchers need their code typed in. The server checks it.
  • Loyalty points convert to cash at the rate the server returns. Only available once a customer is attached.
  • Pay online charges the customer by card or mobile money through your payment provider, then waits for the payment to land before adding it to the sale.
  • The quick cash pad offers the exact total and rounded notes above it, plus one-tap Cash, Card and Mobile Money buttons that finish the sale immediately.

You cannot complete a sale that is not fully paid, unless it is a credit sale with a named customer, or your shop posts sales as drafts.

To park a basket and serve somebody else:

  1. Click the Hold button — the pause icon in the row of buttons at the bottom.
  2. Type a Label you will recognise, like Table 5 or John — blue shirt.
  3. Click Hold. You will see Sale held and the screen clears.

To bring it back:

  1. Click the Held sales button — the pause icon in the toolbar next to the search box. It carries a red count.
  2. Tap the row you want. It loads straight into the till.

To throw one away, click the bin icon on its row.

Recalling a hold from an earlier day asks you to confirm the date before completing.

In order:

  1. A manager PIN is requested, if a discount needs one.
  2. The sale is saved. This works offline — it is queued and sent when you have a connection. See Working offline.
  3. The server gives the sale its document number, works out the authoritative totals and profit, posts to the ledger and takes the stock off the shelf. The till only ever shows a preview of the numbers; the server’s figures are the real ones.
  4. What happens next depends on the sale:
    • Ordinary sale — a receipt is produced and printed, according to your device’s print setting. A print failure never blocks the sale.
    • Your shop posts sales as drafts — you get “submitted for review” and no receipt; someone has to post it afterwards.
    • Layaway — the plan is created and no receipt is printed yet.
  5. Your shift’s expected cash is updated.

The receipt carries your shop’s details, the lines, a tax breakdown, the payments, your footer text and your name. If you use electronic invoicing, a fiscal reference is added when it is available — and quietly left off when it is not, so the receipt always prints.

Printing is not decided by which button you press. It is a per-device setting:

  1. Go to Settings → Receipts.
  2. Set After a sale to Off, Preview or Silent print.
  3. Choose your Default printer, Receipt layout (Classic, Compact, Extended or Minimal) and Paper size (58mm, 80mm or A4).
  4. Click Test receipt to check it.
You want to Can you
Edit it Only while it is a draft. A posted sale opens read-only.
Take more money against it Yes — Add payment on the sale’s row.
Undo it Cancel it, with a reason and an optional refund.
Remove it completely Only a draft can be deleted.

Cancel and delete are not the same. Cancelling keeps the sale on record as cancelled and reverses what it did. Deleting removes it — and is only possible before it was ever posted.

There are seven till layouts and you do not switch between them on the screen — the User → App Ui Type setting picks one per person.

Layout Suits
Classic Order-entry style, one search box per line. The only layout where you can edit a price.
Simple Browse-first, picture tiles and category chips. The default.
Sale focused Search-first, a results list beside the basket.
Quick retail A fast counter till: one scan box and a cash pad. No hold, no price editing.
Kiosk Unattended, customers tap tiles themselves.
Self-checkout Unattended, customers scan for themselves.
Phone Chosen automatically on a phone, whatever your setting says.

Kiosk and self-checkout are stricter: card or mobile money only, no cash drawer, and a manager PIN is needed to remove a line or apply a discount — things an attended till lets the cashier do freely.

The customer display mirrors the basket live as you ring it up, then shows a thank-you with the total. It currently only works as a second window of the same running app — for example dragged onto a second monitor — not as a separate device.

  • Hold is not the same as a draft. Hold never contacts the server; a draft is a real saved record.
  • Backdating a sale needs two things — the plan capability and the Pos → Allow Back Date setting. With only one, the date stays locked on today and it looks like a fault. The till is the only screen with that extra plan gate; everywhere else the setting alone decides. How far back you can then go is Back Date Maximum, five days by default, and the till’s date picker greys out everything outside it — see Document dates and how far they can move.
  • Selling below zero stock is refused unless the Inventory → Negative Stock Policy setting allows it, or the sale is a backorder.
  • Quick retail has no Hold button at all.
  • There are no keyboard shortcuts at the till. No F-key tenders, nothing for Hold or Complete. The only shortcut anywhere is Ctrl + K for global search. A USB scanner works without clicking, which is the real speed-up.
  • A line discount can only be typed on the Classic layout. Other layouts show it read-only, so a cashier who needs to discount a line must be moved to Classic.

Selling keeps going. These do not:
