Getting paid online
When you send a customer an invoice, they can pay it from their phone — mobile money or card — without an account, a password or an app. This page explains what they see and what you see.

Before you start
Section titled “Before you start”A payment provider must be available to your workspace. Open Settings → Payment Gateways and look at the banner above the list:
| The banner says | What it means |
|---|---|
| “Currently using the platform default gateway (…)” | Your SaleSprint operator collects on your behalf through their own provider account. You have nothing to set up. The money is passed on to you afterwards — see settlements and fees. |
| “Your own … configuration is currently active.” | You have entered your own provider keys, and payments go to your own provider account. |
| No banner | Nothing is configured. No pay button will be offered anywhere. |
You never choose a provider per invoice — SaleSprint picks your default one. To use your own provider account instead, see setting up a payment provider.
Where the pay link comes from
Section titled “Where the pay link comes from”You do not create pay links for invoices. SaleSprint adds one wherever the customer is told about money they owe:
| Message | When it is sent |
|---|---|
| Invoice issued | When you post an invoice, or complete a credit sale |
| An invoice you Send yourself | Whenever you send it — by email, WhatsApp or SMS |
| Payment reminder | Before an invoice falls due — if you have switched reminders on |
| Overdue notice and monthly statement | If you have switched them on. These ask for everything the customer owes, not one invoice. |
If no provider is available, the same messages still go out with a link to view the document — just no pay button.
What the customer sees
Section titled “What the customer sees”1. The invoice
Section titled “1. The invoice”The link opens the invoice on SaleSprint Pay, under your business name:
- who it is From and To, the Number, Date and Status;
- the Due date — with an Overdue badge once that date has passed;
- the Items: description, quantity, unit price and amount for each line;
- a Summary: subtotal, discount, each tax, what has been Paid, and the Amount due;
- your Notes and Terms;
- a Print button — “Print or save as PDF”;
- a Pay now button, when there is something to pay and you can take online payments.
A statement shows the customer’s open items and total; a credit note shows what was credited. Neither needs a login.
2. The payment page
Section titled “2. The payment page”Pay now opens a page showing your business name, the Amount due and a reference. The customer chooses how to pay:
Mobile Money
- They type their Mobile money number.
- The Network — MTN, Telecel or AirtelTigo — is picked for them from the number. They can change it; if the number looks like it belongs to another network, the page says so before they pay.
- They press Pay, and approve the prompt on their phone with their PIN.
Credit / debit card
They press Pay and are taken to the payment provider’s own secure card page, then brought back. Card details are never typed into, or stored by, SaleSprint.
They can also add an Email (for your receipt).
3. What happens next
Section titled “3. What happens next”| The customer sees | Meaning |
|---|---|
| Waiting for approval | The mobile-money prompt has been sent to their phone. |
| Confirming your payment… | They have paid or returned from the card page, and SaleSprint is checking with the provider. |
| Still waiting for confirmation | It is taking longer than usual. They can press Check again, switch with Use a different method, or simply close the page — the payment is still picked up. |
| Payment received | Done. The invoice is updated. |
| Payment not completed | The attempt failed and no money was taken. Try again starts a fresh attempt on the same link. |
| This payment link has expired | The link is too old to pay from. Send the invoice again for a fresh one. |
| Nothing to pay | The link is no longer payable — usually because it was already settled. |
The pages appear in English or French, following the language the message was sent in or the customer’s browser.
How much the customer is asked for
Section titled “How much the customer is asked for”Always what is owed right now, in full. The customer cannot type a smaller amount on the payment page.
That still works alongside part-payments:
- If the customer paid part at the till, the invoice email asks only for the balance.
- If you record a part-payment after sending the invoice — at the till or in finance — the invoice page shows the new, smaller balance the next time the customer opens it, and its Pay now button asks for exactly that.
- Opening the invoice many times does not create many charges. The same pay link is reused until it is paid, it expires, or the amount owed changes.
To take an instalment, record it yourself with Add payment on the credit sale, or as a customer payment in finance.
When a payment arrives
Section titled “When a payment arrives”- The provider tells SaleSprint something happened, the customer returns to the page, or SaleSprint checks by itself — whichever comes first.
- SaleSprint asks the provider directly whether that payment really completed, and for how much. A notification on its own is never trusted.
- If it completed for the exact amount and currency asked for, the payment counts —
once, however many times it is checked:
- the invoice’s balance goes down and its status moves to Paid;
- if the invoice came from a credit sale, the sale’s Paid and Balance update too;
- your books are updated;
- the money appears in your Merchant Ledger — see collecting payments.
A payment against a statement link is applied to the customer’s oldest debts first; anything left over stays as credit on their account.
You can see each online payment under Payments → Payment Requests, with the source Invoice link.
Safety rules you will notice
Section titled “Safety rules you will notice”- You cannot mark an online payment completed by hand. Only the provider’s own answer completes it. Money you received some other way — cash, a bank transfer — is recorded in finance or on the sale, not here.
- Pending payments are re-checked automatically. If a notification never arrives, the payment is still found and completed, usually within minutes.
- Stale requests expire. A request nobody paid is cancelled once it expires, after a last check that nothing was paid.
- A decided payment never changes. Once completed, failed, cancelled or under review, a late or repeated notification cannot overwrite it.
Under review
Section titled “Under review”Under review means the provider reported a completed payment that does not match the request — a different amount, or a different currency.
SaleSprint does not guess. The payment is:
- not applied to the invoice — the invoice still shows the full amount owing;
- not added to your balance;
- left untouched by every automatic check from then on.
The reason — for example amount_mismatch — is recorded on the request. Open Payments
→ Payment Requests, find the request and use View transactions to see it.
Your operator has two ways to resolve it:
- Accept the amount actually paid. SaleSprint checks with the provider once more, then completes the request for that amount: the invoice is credited with what was really received (so a short payment leaves the difference owing), and the money joins your balance with its fees like any other payment.
- Mark it for refund. The request stays under review and nothing is credited; the money is to be returned to the customer.
A payment in a different currency cannot be accepted — it can only be refunded.
Paying your own SaleSprint bill
Section titled “Paying your own SaleSprint bill”The same rules apply when you pay SaleSprint online: the payment is confirmed with the provider before your bill is marked paid, and a mismatched payment is held for review. See your bill.
