Deliveries

A delivery is the record of a trip: what is going out, who is taking it, where to, and what happened when they arrived.

Sales → Sale Delivery
  1. Go to Sale Transactions → Deliveries and click to create one.
  2. Under Order & recipient, pick the Sale — or Standalone (no sale). Picking a sale fills in the recipient for you.
  3. Check the Recipient name and Contact.
  4. Under Courier & rider, choose the Type: In-house courier, Third-party courier or Third-party partner.
  5. Fill in the Delivery address — address, city, region, landmark, and a map point if you use one.
  6. Set the Expected delivery date and Expected time.
  7. Enter the Delivery fee. This is required — put 0 if delivery is free.
  8. If the rider is collecting money, turn on Cash on delivery and enter the COD amount.
  9. Save. You will see Delivery created, and it starts as Pending.
  1. On the deliveries list, open the row menu and click Update status.
  2. Pick the New status and fill in whatever it asks for:
Moving to What you must provide
Assigned A Rider
In transit / Out for delivery A rider must already be assigned
Delivered A Recipient name; you can also Attach photo as proof
Failed A Failure reason
  1. Submit.

The customer is notified automatically the first time a delivery is dispatched. A later move to out-for-delivery does not notify them again.

A delivery is usually raised against a sale, which fills in the recipient and address from the customer. It can also stand alone.

Field Notes
Sale Optional
Type Courier, in-house, and so on
Recipient and contact
Address City, region, landmark, and a map point
Expected date and time
Delivery fee Required — enter zero if free
Cash on delivery Tick it and enter the amount to collect

Every new delivery starts as pending, whatever else you do.

Pending → assigned → in transit → out for delivery → delivered. Failed lets you reattempt or write it off; returned and cancelled are the other endings.

Some steps insist on information before they will go through:

  • You cannot put a delivery on the road without assigning a rider.
  • Marking it delivered requires a recipient name, and offers a photo upload as proof of delivery.
  • Marking it failed requires a reason.

When you mark a COD delivery as Delivered, extra fields appear:

  1. Enter Amount collected. The system decides from that whether the cash status is Collected or a Shortfall — you do not pick it.
  2. In Bank into till session, choose an open till session — or Don’t bank yet.
  3. The dialog previews “Cash status will be: …”. Submit.

Banking is what closes the loop and moves the cash to Reconciled. It can only be done once; after that the fields lock.

  • Deliveries do not work offline. The whole screen needs a connection.
  • Out for delivery cannot be cancelled. From there the only ways out are Delivered, Failed or Returned.
  • “Permanently deleted” is not true. The confirmation says the delivery will be permanently deleted; it is actually hidden and kept.
  • The menu shows on plans that cannot use it. Deliveries need the Growth plan, but the menu entry appears on lower plans too — where it will refuse with a permission error.
