The products list
Section titled “The products list”The list shows name, item code, category, type, standard cost, quantity per pack, barcode, whether it has variants, and its status. You can search and filter by status.
There are no bulk actions — edits and deletes are one product at a time.
How to add a product you can actually sell
Section titled “How to add a product you can actually sell”It takes three steps, and the first one alone is not enough — a new product will not appear at the till until you list it at a branch and give it a price.
1. Create the product
Section titled “1. Create the product”- Pick your company in the top bar. Products belong to a company, not a branch, and the form has no company field — it uses whatever is selected.
- Go to Stock → Catalog → Products and click New record.
- Fill the four required fields under Core information:
- Name
- SKU — typed by you, nothing is generated
- Category — must already exist
- Unit of measure — must already exist
- Optionally add a Barcode. You can scan it: a scan anywhere on the form lands in the barcode box, wherever your cursor is.
- Click Save.
You land in the full editor. Everything else has a sensible default: type Physical, status Active, quantity per pack 1.
2. List it at your shop
Section titled “2. List it at your shop”- Go to the Locations tab and click New record.
- Pick the Location and set Product status to Active.
- Click Save.
3. Give it a selling price
Section titled “3. Give it a selling price”See Pricing. Without a price row the till has nothing to charge.
The eight tabs
Section titled “The eight tabs”| Tab | Holds |
|---|---|
| General | The main record — everything below on this page |
| Variant options | Which attributes this product varies by |
| Variants | The actual variants, one row each |
| Pricing | Selling prices, and prices pinned to a foreign currency |
| Locations | Which branches carry it |
| Translations | The name and description in another language |
| Related | Cross-sell links for the online store |
| Specifications | Feature and specification bullets for the online store |
Per-location cost is not here — it lives in the location cockpit, reached by opening a branch’s listing.
Product type, and the flag that actually matters
Section titled “Product type, and the flag that actually matters”There are three types — Physical, Digital and Service — and choosing one changes almost nothing on its own.
What actually decides behaviour is Track Inventory. Turn it off and the product never deducts stock, is never reserved and never goes on backorder. That is how you make a service or a non-stock item, regardless of the type you picked.
Options on the General tab
Section titled “Options on the General tab”All simple Yes/No switches: Track Inventory, Has Variant, Serialized, Batch Tracked, Catch Weight, Raw Material, Purchase Only, Combo Product, Snap Eligible, Drop Ship, High Value for Warranty.
Three of these are genuinely enforced at the till — Restricted, Requires ID Check and Minimum Age produce the confirmation a cashier must accept before the item goes in the basket.
What is not on this screen
Section titled “What is not on this screen”People look for these here and they are elsewhere:
- Reorder level, minimum and maximum stock, negative-stock rules — these are inventory settings, not product fields.
- Tax rate — there is no tax field on a product. The only tax control is a Tax Exempt switch on each branch’s listing, because exemption follows the location’s tax rules.
- Expiry dates — the product carries a shelf life in days; actual dates live on each batch.
Photos
Section titled “Photos”A single Logo image is the product’s main picture, and a Gallery takes up to 20 more files. Both need the Growth plan or above; below that the fields appear locked with an upgrade prompt.
On a brand-new product, gallery files upload after the product is saved. If an upload fails you are told, but the product itself has already been created.
How to stop selling a product
Section titled “How to stop selling a product”Three different levers, depending on what you mean.
Stop selling it everywhere, keep the history:
- Open the product’s General tab.
- Set Status to Inactive.
- Click Save changes.
Stop selling it at one branch only:
- Go to Stock → Catalog → Location Products and pick the branch.
- Find the product and click Stop carrying, then confirm.
Or open the product’s Locations tab and set that listing’s Product status to Discontinued or Out of stock, or give it an End date.
Delete it — Products list → row menu → Delete.
Things worth knowing
Section titled “Things worth knowing”- Active does not mean sellable. A branch listing has its own status, its own product status and a date window; any of them can keep an Active product off the till. See Selling a product at a branch.
- Marking a product “Online” does not give it a working storefront address. The storefront finds products by a web address that this editor never asks for and does not fill in.
- Variants can hold their own picture in the system, but there is no field to set one.
