How to add a customer
Section titled “How to add a customer”- Go to Contacts → Customers and click New record.
- Type the Name — the only field you must fill in.
- Check the Company. It is required and is filled in from the top bar.
- Leave Code blank to have one generated.
- Fill in Email and Phone — these are how the app reaches them.
- Set the Default currency if they trade in something other than yours.
- Under the customer section, set the Credit Limit and Date of Birth if you use them.
- If this customer does not pay tax, turn on the Tax Exempt switch. See below.
- Click Save.
The Customer switch is already on when you come from the Customers list. Turning it off removes the whole customer section.
Customers work offline — add and edit freely, and it syncs later.
Fields that do less than they look like
Section titled “Fields that do less than they look like”| Field | Reality |
|---|---|
| Credit Limit | Real — a credit sale that would take the customer past it is refused. 0 means no limit. See credit limits. |
| Payment Terms (days) | Real — sets the due date on the customer’s invoices, including the ones raised by credit sales, unless a due date or payment term is given on the invoice itself. |
| Marketing Channel | Written and never read by anything. |
| Start Date / End Date | Captured but unused. An end date in the past does not deactivate anybody. |
| Status = Inactive | Filters the list. It does not stop you selling to them. |
| Date of Birth | Real — used by birthday marketing and customer segments. |
| Default currency | Real — pre-fills the currency on their documents. |
How to make a customer’s sales tax-free
Section titled “How to make a customer’s sales tax-free”When the switch is on, the entire sale is tax-free — there is no per-item or per-jurisdiction scoping. The cashier sees a Tax-exempt customer badge on the sale.
How to record a certificate
Section titled “How to record a certificate”- Go to Contacts → Tax Exemption Certificates and click Add certificate, or use the Tax Exemptions tab on the customer.
- Pick the Contact and type the Certificate number — the only required field.
- Add the Jurisdiction, Reason code, Issue date and Expiry date.
- Save.
Rows show Active, Expiring soon, Expired or Inactive badges. Certificates are online only.
What is on a customer’s page
Section titled “What is on a customer’s page”Click any row in the list to open them. The header shows their balance, credit limit and currency, with Edit top right.
| Tab | Worth using? |
|---|---|
| Overview | Their details and profile at a glance. |
| Transactions | The most useful tab — every document, filterable by kind and date, each opening a preview. |
| Activities | Calls, visits and notes. |
| Loyalty | Their points account and full ledger. |
| Tax Exemptions | Certificates on file. |
| Leads | Usually empty. |
| Sale Contacts | Broken — shows every sale contact in your whole business, not this customer’s. Ignore it. |
How to log a call or a visit
Section titled “How to log a call or a visit”- Go to Contacts → Activities and click Add Activity — or use the Activities tab on the customer.
- Pick the Contact and the Activity Type: Call, Email, Meeting, Note, Task, Visit, Demo or Follow-up.
- Type the Subject — the only required field.
- Set the Activity Date and Activity Time, and add the Outcome and Notes.
- Save.
Activities work offline.
Removing a duplicate
Section titled “Removing a duplicate”There is no merge. Nothing detects duplicates and nothing moves history between records.
The practical approach is to rename the loser — “ACME — do not use” — set its Status to Inactive, and carry on with the survivor.
Delete is available on the row menu. It hides the record rather than erasing it, and past documents keep their own copy of the name. But nothing checks for unpaid invoices or an open balance first, so check before you delete.
