Credit limits

A credit limit is the most you are prepared to let one customer owe you. Once it is set, a credit sale that would take the customer past it is refused.

The limit itself is set on the customer’s record, under Contacts → Customers.

  1. Go to Contacts → Customers and open the customer.
  2. Set the Credit Limit, in your own (base) currency.
  3. Save.

Leave it at 0 for no limit. Zero means “no limit has been set”, not “no credit allowed”. To stop a customer buying on credit at all, set a very small limit.

When a sale is completed with money still owed, SaleSprint checks:

what the customer already owes + this sale’s unpaid balance > their credit limit?

If so, the sale is refused, and the message gives the figures — for example “this sale would take the customer to 6,200.00, over their credit limit of 5,000.00 (currently owing 4,100.00)”.

From there you can:

  • take a bigger payment now, so the balance left over fits under the limit;
  • collect on what the customer already owes, then try again;
  • raise the limit on the customer’s record; or
  • have somebody with the override permission complete the sale.

It is the customer’s real open balance from their account — unpaid invoices and credit sales, less any credit sitting on their account (a payment left on account, an unapplied credit note). It is read from the customer ledger, so it is always current.

A sale in another currency is converted at the sale’s own exchange rate before comparing.

Anyone holding Sales → Sale → Credit Limit Override completes the sale with no prompt at all — the check passes silently for them.

It is a separate permission from Sales → Sale → Credit on purpose: a cashier can be trusted to give credit within the limit you set, while going past it is a supervisor’s decision. Both are available on every plan that can sell on credit.

  • Sales paid in full. A cash sale leaves nothing owed, so the limit never applies.
  • Customers with no limit. A limit of 0 is never exceeded.
  • Invoices you raise in finance. The check is on credit sales. An invoice for services is not refused for taking a customer over their limit — though it does count towards what they owe on the next credit sale.
  • Sales SaleSprint completes on its own — an online order being converted, a subscription being billed, or a sale finishing because an approver said yes. Those are not stopped part-way.

The Credit & AR dashboard lists receivables, overdue amounts and credit limits together, and now includes what customers owe on credit sales as well as on invoices. See dashboards.
